Answer · A short answer

What happens when your best dispatcher leaves?

Everything they carried in their head leaves with them: which drivers cross the border, which trailers fit which docks, which customers always run late, how many hours each driver has left. The fix is not hiring another star. It is turning what they know into written rules the whole team, and your system, can use.

What a senior dispatcher actually holds

In many carriers, one dispatcher knows the fleet better than any system. Driver preferences. Who has a hazmat endorsement. Which trucks are due for service. Which docks make drivers wait. Where every trailer is. Hours of service left for each driver.

None of it is written down. It works, until that person is sick, on holiday or gone. Then loads get assigned to the wrong driver, trucks are sent to docks they cannot fit, and customers start calling.

This is not a staffing problem

Leaders often think the limit is drivers or dispatch headcount. More often the limit is that the company has no way to plan except through one person. Hiring a second dispatcher does not help if the knowledge cannot be shared.

How to get it out of their head

Sit with your dispatcher for a week and write down every decision and the reason for it. Turn the reasons into rules: this load needs a reefer, this driver can cross the border, this truck is down for service, this dock closes at two.

Put the rules in one place, tied to drivers, trucks and loads. Let the system filter out the matches that break a rule and show the dispatcher the ones that work. The dispatcher still decides and can override, but no longer has to remember everything.

Separate the jobs

Your dispatcher is probably doing four jobs at once: taking orders, planning loads, watching trucks and handling problems. Split them, even if the same people do them. A complete order record at intake, a planning step with rules, and drivers reporting by milestones take most of the load off one head.

Start before they give notice

The best time to do this is while your best dispatcher is still there and can check the rules. They will also have an easier job.
