Enquiry reply messages

The first reply is where most bookings are won or lost. These messages are written once so whoever owns the queue can send them in seconds. Each one answers, then gives one next step: a booking link or a call back at a set time. Copy them, fill in the brackets, and save them where your team can send them in one tap.

Copy the messages, fill in the brackets, then save them as quick replies on each channel.

The rule

Every enquiry gets a first reply within [1] minute in opening hours, and by [time] the next morning outside them.

Every reply ends with one next step: a booking link or a call back at a named time.

Owned by [manager]. Updated whenever prices, services or hours change.

First reply by channel

Call back: "Hi [name], it's [your name] from [business]. You called about [service]. I can book you in now, or text you a link. Which is easier?"

Instagram DM: "Hi [name], thanks for the message. [Answer in one line.] You can book here: [link]. Or tell me a day that suits and I'll find a time."

Google message: "Hi, thanks for getting in touch with [business]. [Answer in one line.] Book online at [link], or reply with a good time to call."

Web form: "Hi [name], thanks for your enquiry about [service]. [Answer in one line.] Here is the link to book: [link]. I'll call you at [time] if that's easier."

Missed-call text: "Hi, this is [business]. Sorry we missed your call. Book here: [link], or reply and we'll call you back within [15] minutes."

Booking-link version

"Here is the link for [service] with [staff name]: [link]. The next free times are [day, time] and [day, time]."

Use it when the person already knows what they want. Name two real times so they do not have to search.

Price question

"[Service] is [price], and takes about [time]. [What it includes in one line.] Would you like me to book you in? [link]"

If the price depends on the job: "It usually runs from [price] to [price], depending on [what changes it]. A [consultation or quick look] tells us exactly. Can I book that for you?"

Always give a number or a range. "It depends" on its own loses the booking.

Just browsing

"No problem at all. Here is our menu and prices: [link]. If you want to try us, [first-visit offer or the easiest service to start with] is a good place to start."

Follow up once, [2] days later: "Hi [name], just checking if you had any questions about [service]. Happy to help." Then stop.

Follow-up if they go quiet

Same day: "Hi [name], I can still hold [time] on [day] for you. Want me to book it?"

[2] days later: "Hi [name], just checking in. Here is the link if you want to book: [link]."

After that, close the enquiry. Two follow-ups, no more.
